Booking Policies
BOOKING POLICIES
Please read carefully before booking your appointment with HairWithVim. By securing a booking, you agree to the following policies and terms.
HairWithVim is committed to providing a professional, luxury experience for every client. These policies are in place to protect appointment scheduling, timing, and service quality.
BRAIDING HAIR INCLUDED
Braiding hair/extensions are included in all braiding services unless stated otherwise.
Included hair colours:
- Colour 1
- Colour 1B
- Colour 2
- Colour 4
Any additional hair colours requested outside of the standard colours provided will incur an additional £5 fee.
COLOUR MIXING FEES
Custom colour blends are available upon request and are charged as follows:
- Mixing 2 colours: +£10
- Mixing 3 colours: +£15
- Mixing 4 colours: +£20
Please ensure all colour requests are selected or discussed prior to your appointment to allow adequate preparation time.
BOOKING & DEPOSITS
A non-refundable deposit is required to secure all appointments.
- Services under £150 require a £20 deposit.
- Services over £150 require a £50 deposit.
Deposits must be paid within 24 hours of booking confirmation. Failure to do so will result in automatic cancellation of the appointment slot.
Deposit payment details will be provided after booking.
Remaining amount Must be paid in Cash on the Day.
CANCELLATIONS
HairWithVim understands that unexpected situations can occur. However, repeated last-minute cancellations significantly affect scheduling, preparation time, and business operations.
Clients who cancel appointments with less than 48 hours’ notice without reasonable communication may be restricted from making future bookings.
Repeated cancellations may also result in refusal of future appointments.
NO-SHOW POLICY
Failure to attend your appointment without prior communication will result in immediate removal from future booking eligibility.
HairWithVim operates on scheduled appointment times, and no-shows result in lost appointment availability that could have been allocated to other clients.
RESCHEDULING
Appointments may be rescheduled free of charge when requested more than 72 hours before the appointment time.
Reschedule requests made within 72 hours of the appointment will incur a £15 rescheduling fee.
If the rescheduling fee is not paid, the original appointment may be cancelled and the deposit forfeited.
All rescheduling requests are subject to availability.
LATENESS
Please arrive on time for your appointment.
Clients arriving more than 15 minutes late will incur a £10 late fee.
Clients arriving more than 30 minutes late may have their appointment cancelled and deposit forfeited.

HAIR PREPARATION
Clients must arrive with hair:
- Washed
- Fully detangled
- Fully blow-dried
If hair preparation is required during the appointment, additional preparation charges will apply.
Hair washing facilities are available within the studio; however, washing services must be booked in advance alongside your appointment.
Bundles/Half Wig hair must arrive fully prepared unless agreed otherwise beforehand.
AFTER-HOURS APPOINTMENTS
Standard booking hours:
9:30 AM – 6:00 PM
Appointments outside standard working hours are subject to additional fees.
- Appointments booked after 6:00 PM: +£10
- Appointments booked after 7:30 PM: +£15
- Appointments booked after 8:30 PM: +£25–£35 depending on service duration and complexity
After-hours appointments are subject to availability and approval.
GUEST POLICY
No additional guests are permitted at appointments, including friends, partners, or children, unless agreed beforehand.
AGE POLICY
Services are available for clients aged 12 and over only.
Clients under 18 are not permitted at appointments scheduled after 7:00 PM.
PARKING
Due to the studio location, parking availability may vary, particularly on local match or event days.
Clients planning to drive are advised to contact HairWithVim before their appointment for the best available parking guidance.
Where possible, public transport is recommended.
